At 21:15, a plumber opens the bank app again. Invoice 0418 is still outstanding. The parts are paid for, Friday’s supplier bill is coming, and another evening is going into money already earned.
Put the invoice, payment status, and next reminder together. Otto handles the repeat work, so you can make the decision and close the laptop.
Get your evening back from the invoice trail
Chasing starts before you type the message. You find the invoice, check the bank, open the customer’s last reply, and work out what you agreed. Then you repeat the search a few days later.
The UK government reports an average of 86 hours a year spent chasing late payments per affected business. Source: government response drawing on 2025 late-payment research.
Record your own chasing time for a working week. Include the quick checks between jobs and the messages sent after dinner. That gives you a useful starting point for deciding what to hand over.
Know what is due before Friday’s bills
Keep three figures in view: what customers owe, what is overdue, and what you expect to arrive next. Add the promised payment date beside each invoice.
This makes the next conversation easier. A customer waiting for a purchase order needs the right document. Someone who promised Friday needs that agreement recorded. A disputed parts line needs your attention before the next reminder.
The same record also keeps your accountant and your customer looking at the same amount. Mark payments when they arrive and carry any agreed change into the next message.
Get the reminder out with the facts attached
“Hello Alex, invoice 0418 was due on Friday. Could you confirm when payment is scheduled? I have attached it again.”
A clear reference and a simple question give the customer something easy to act on. Keep the amount, due date, and payment details close at hand. When they reply, record the answer beside the invoice.
At 07:30, Otto prepares that reminder from your records. You check a disputed line on WhatsApp and reply “OK” to the next step. The invoice uses your template; the message sounds like your business.

Leave Monday with the chasing already planned
Use the Monday admin routine to review overdue items and choose the week’s actions. Each invoice leaves the list paid, scheduled for a reminder, or attached to a decision with your name on it.
Operations costs €250 per month, all in. A 20-minute call sets the job, setup takes 48 hours, and the standard plan cancels monthly. Hosting, upkeep, and support are included.
